Project Manager

Ariel Okin Interiors is seeking a highly organized and dedicated Project Manager with expertise in FF&E, logistics, and ordering systems from project launch through to installation. Our ideal candidate will have a minimum of 3 years of experience in a project management role at an interior design firm. This candidate will need to be highly organized, self-motivated, resourceful, and have experience in managing projects from start to finish.
The Project Manager is the operational backbone of each assigned project — a confident, proactive presence who clients and contractors rely on equally. This role demands precision, calm under pressure, and expertise in how high-end residential interiors get built and delivered.
AOI operates both remotely and in-office as well as on site.
THE ROLE
Key Responsibilities
PROJECT & CLIENT MANAGEMENT
Support multiple high-profile, large-scale residential projects simultaneously
Serve as the first line of communication; collaborate directly with clients, architects, contractors, specialists, and vendors throughout each project
Attend and lead site visits with key stakeholders, documenting decisions and maintaining follow-through
Ensure architect and contractor partners remain on track from a timeline standpoint
Aid in planning and execution of photoshoots where needed
CONSTRUCTION MANAGEMENT
Lead site meetings and maintain thorough documentation: RFIs, action items, shop drawing reviews, and contractor correspondence
Review construction documents and specifications for scope alignment and accuracy
Assist in developing construction schedules (lighting, tile, flooring) from the design team's client-approved concepts
Solicit and evaluate contractor bids; review proposals and flag discrepancies or value-engineering opportunities
Track construction milestones, schedules, and punch lists through project completion and client handover
Anticipate issues before they escalate; resolve on-site problems quickly and communicate decisively
PROCUREMENT & PURCHASING
Lead procurement for multiple large-scale projects at once: request quotes, create proposals and purchase orders, perform invoicing
Manage the full FF&E procurement process from vendor sourcing and pricing through delivery and installation coordination
Maintain all purchase orders, vendor invoices, and procurement documentation in Studio Designer
Coordinate with vendors, trade showrooms, workrooms, and freight carriers on lead times, order confirmations, damages, and discrepancies
Lead and plan all shipping and logistics from receiving and storage through to installation
Develop and maintain close working relationships with trade vendors and suppliers
PRESENTATIONS, BUDGETS & SCHEDULES
Create FF&E budgets for client review and internal use to keep clients and the team on track from a budgetary standpoint
Prepare budget line sheets for client presentations
Prepare detailed tear sheets for client review
Prepare content and imagery for client presentations as needed
Assist in developing design schedules (fabric, trim, wallpaper, window and floor coverings) from the design team's client-approved concepts
QUALIFICATIONS
What You Bring
Minimum 3 years of project management experience at an interior design firm — high-end residential strongly preferred
Deep, hands-on proficiency in Studio Designer — required
Proven construction management experience, including working knowledge of construction documents and contractor coordination
Full command of the FF&E procurement lifecycle, from sourcing and specification through delivery and install
Experience preparing client-facing pricing proposals, budget line sheets, tear sheets, and FF&E presentations
Exceptional organizational skills with meticulous attention to detail; able to manage multiple complex projects simultaneously
Self-motivated and resourceful — you solve problems before they become issues and follow through without being asked
Quick thinker and decisive communicator; calm under pressure and clear in writing and conversation
Warm, professional manner with clients, vendors, and team members alike
Proficiency in G-Suite, Studio Designer, and Slack
Strong knowledge of the NYC vendor and trade landscape preferred
Willingness to travel to job sites and installations as needed, valid driver’s license required
Bachelor's degree in Interior Design, Architecture, or a related field preferred
